In short

  • Ask whether a seat can be reassigned when someone leaves.
  • On Calm's page, seats cannot be reduced during the term.
  • Nutrola moves unused or leavers' seats to someone else at no charge.
  • Get the seat rules in writing before you order.

An unused seat is a seat you have paid for that nobody is using. In a team plan, the cost of unused seats depends on two things: whether the seat can be reassigned, and whether you can reduce seats during the term. Nutrola moves unused or leavers’ seats to someone else at no charge. On its page (checked November 5, 2026), Calm states that seats cannot be reduced during the term. This guide shows what to ask before you buy.

Why do unused seats cost money?

If a plan charges per seat, every seat has a price whether or not it is in use. A seat that sits empty for part of the term is money spent without a return. The answer is to check the seat rules before the order is placed, not after the first month.

What should you ask before you buy?

  1. Can a seat be reassigned to someone else when a person leaves?
  2. Can you reduce the number of seats during the term?
  3. What happens to a seat when someone leaves the company?
  4. How are people added in the middle of the term, and at what price?

Write the answers into the order or contract. A verbal answer is hard to check later.

How does Nutrola handle seats?

SituationWhat happens
A seat is unusedIt moves to someone else at no charge
An employee leavesTheir seat moves to someone else at no charge
The leaver wants to keep PremiumThey can subscribe in the app
A new person is addedSame per-person price, 12 months from their activation
Account and dataBelong to the person, who can delete them at any time

The company sees group totals only, so a reassigned seat does not expose the previous user’s information.

What does Calm’s page say?

On its page (checked November 5, 2026), Calm describes an admin who uploads employee emails and employees who activate through a unique link. Seats cannot be reduced during the term, and the plan auto-renews yearly unless the admin turns it off. Those rules apply when headcount changes, so read them before you sign.

What about mid-term changes?

Mid-term changes need the most care. Ask how seats are added, how they are removed, and what happens to any money already paid. Nutrola’s added people pay the same per-person price, and their 12 months start at activation.

Who should own the seat list?

Assign one person to keep the list of seat holders current. Update it when people join, leave or move teams. One list makes it easy to see which seats are unused, and it gives leaders a clear view when they review the budget.
